THE TASK
OPTIMISE COSTS IN EVERYDAY PRACTICE
Due to the legal requirements and the needs for optimal doctor-patient communication, patient education and documentation has become an expensive part of daily work. Previously, patient education documents had to be ordered in paper form and sent out in packs of 25 or 50.
This meant a longer lead time and costs for ordering and storing. In order to streamline this process, a digital solution was offered to help all those involved keep the current version of the documents available and gain more time for treatment and patient communication.
THE SOLUTION
AN INTELLIGENT PLATFORM THAT SAVES TIME AND MONEY
Print functionalities were developed for the Thieme Compliance webshop that doctors, practices and clinics could use to give patients the materials for optimal doctor-patient communication and documentation in accordance with the requirements. This was done to avoid having to send blank medical history and patient information sheets in paper form and send them digitally instead.
Instead of taking the sheets out of the packs individually and having patients fill them in, clinics and medical practices now have the option of buying the document in the Thieme Compliance B2B webshop and printing it out immediately. Before printing, reception staff can pre-fill the sheets with the master data stored in the archive. As a result, the personalised documents are only printed when they are really needed. This makes it easy to save unnecessary posting and associated costs.
THE CHALLENGE
OPTIMAL DATA MANAGEMENT FOR CUSTOMERS AND VENDORS
In addition to the digital provision of information sheets from more than 30 specialist areas in up to 20 languages, other important procedural functionalities had to be integrated for all parties involved. The invoicing of the documents purchased for printing is carried out on the basis of the print quotas agreed in advance.
Every customer can now not only purchase and individualise documents as required, but also be reminded when a new print quota has to be ordered.
At the same time, the internal print statistics calculate the respective fee shares for the medical authors, editors and legal advisers for the documents purchased. A carefully designed role and authorisation concept in the SAP Commerce solution ensures transparency as to which parties have purchased what materials and at what quantity.
IMPORTANT CRITERION: SECURITY
In addition to the time-saving administration and processing of the information sheets made available via the webshop, various security criteria also had to be taken into account when implementing the project.
For reasons of copy security, data is entered on a patient-by-patient basis and only by clearly defined users. Since the data entered is often subject to data protection, it was also ensured that all data security requirements – from processing to secure archiving – are observed before, during and after the input process.

PRACTICAL SOLUTION FOR PRACTICAL APPLICATION
Today, more than ever, medical institutions are under pressure to document all activities vis-a-vis the health system and patients without missing anything.
This is a task that ties up a lot of time and personnel. Especially in doctor-patient communication, efficient solutions for the digital administration and distribution of materials for patient education save time and money and allow those involved to devote more resources to what is actually at stake: the medical work and the patients themselves.
We wanted not only to implement a flexible ordering system for medical facilities, but also provide functions that include all other parties involved in the process and that are scalable.
